About the Role:
We are looking for an Administration Officer to join our Ambulance Operations (Rural & Remote) department based in our regional sub centre in Dowerin on a 1year fixed term part-time basis working 4 hour per week (Flexible to be worked between Tuesday - Thursday).
Where you will conduct administration duties for the Sub Centre, Country Ambulance Operations and customers of St John by providing administration, financial and operational support to ensure the efficient running of the Sub Centre,
What You’ll Do:
- Direct, process and action queries and communication in a timely manner to ensure the District, Sub Centre and customer requirements are met, ensuring correspondence is appropriately recorded, stored and distributed
- Process benefit fund membership, renewals and related enquiries
- Administer first aid kit sales and provide advice regarding first aid training
- Process Patient Care Records (ePCRs) for invoicing (Processing ePCRs may involve reviewing emergency case details, which can include sensitive or potentially distressing information)
- Assist with volunteer enquiries, allowances, reimbursements and liaise with the Committee, VDOs and CP to ensure VIP records are up to date.
- Assist the Regional Finance Coordinator (RFC) with End of Month processing and financial/audit enquiries.
- Conduct accounts duties which include the following:
- Creditor Accounts – prepare purchase orders, issue receipts, monitor payment terms and process invoice payments
- Bank and investment reconciliations
- Manage accounts payable and receivable.
- Liaise with debtors, customers, sponsors to ensure payments are received within agreed terms
- Day to Day banking and data entry into accounting system
- Maintain financial files and records
- Implement financial policies and procedures as directed by State Office

What You’ll Need:
- Certificate III in Office Administration or other relevant qualifications or equivalent years in experience in a similar role
- Excellent time management skills with the ability to prioritise and multi-task
- Ability to work autonomously
- Attention to detail and problem-solving skills
- Proficiency in MS Office Suite and Established data entry skills
