As the People Experience Coordinator you will be responsible for coordinating and supporting the delivery of Heritage, Award and Recognition activities. You will provide administrative and ceremonial support to the WA Commandery, under the Order of St John, working in partnership with the Director of Ceremonies, the GCEO, and Commandery Lieutenant. This position may also assist the People Experience Partners with administrative support. Reporting into the People Experience Manager, you will work 22.5 hours per week based in our Belmont office within a passionate and dedicated team.

What you’ll do:

  • Collect and assess information to determine the eligibility of recipients based on award eligibility criteria, including Australian Honours and the Order of St. John WA Commandery
  • Assist in the preparation of nomination material and coordination across business units for award and recognition programs
  • Provide administrative support to the People Experience Partners to assist with coordination, documentation, and general administrative requirements across key projects and initiatives
  • Offer an advisory service to St John WA staff and volunteers regarding heritage, recognition opportunities, and upcoming events
  • Collaborate with the Corporate Events team prior to all ceremonies, providing pertinent information, feedback, and engaging in discussions on award-related matters.
  • Communicate with award nominators and editing award nominations, citations, and correspondence to ensure compliance with necessary standards.
  • Coordinate with external stakeholders and suppliers to facilitate the procurement of goods and handle inquiries related to awards.
  • Attend and provide assistance at all heritage and recognition ceremonies.
  • Support the Heritage Centre and its volunteers by providing administrative assistance.
  • Aid in providing St. John regalia, such as flags and prayers, to the families of recently deceased Members of the Order of St John
  • Participate in any heritage-related engagements as needed.
  • Collaborate with the Heritage Librarian to utilise heritage information for organisational purposes, such as responding to public, national, and international heritage inquiries.
  • Maintain communication with the Australian Priory regarding relevant Order matters.
  • Assisting applicant individuals and sub-committees with preparation of nominations and coordination across St John WA business units for all members.
  • May be required to attend ceremonial events outside of regular working hours, where appropriate and in alignment with operational needs.

What you’ll need:

  • Strong attention to detail, accuracy, and the ability to work autonomously and as a team.
  • High level of proficiency in Microsoft Office, including Word, Outlook, and Excel.
  • Excellent interpersonal and communication skills, with the ability to collaborate effectively with a diverse range of stakeholders.
  • Good problem solving and organisational skills.
  • Sound literacy, numeracy, and grammatical skills.
  • Demonstrated ability to analyse information, adhere to guidelines, and prioritise workload effectively.
  • Knowledge of St John WA, Australian Honours, and/or Order of St John. (desirable, not essential)
  • Availability to attend ceremonial events outside of regular working hours.
  • Demonstrated previous experience in administrative environment.
  • Previous experience in an Awards and Recognition or an event setting. (desirable, not essential)
  • Hold a current WA Drivers license – C class
  • Cert 3 in Business Studies (desirable, not essential)
