About the Role:

As the Administration Support Partner - Patient and Community Transport Services (PCTS) you will provide department coordination, team support and administration across the department to the General Manager and Leadership team. This is a full-time permanent position based at our Belmont State Office, reporting to the General Manager - PCTS. You’ll be part of a highly skilled, committed and collaborative team that together provide crucial and highly valued services to the WA community.

What You’ll Do:

  • Work collaboratively with the General Manager to ensure department activities and Key Performance Indicators (KPI’s) are achieved in a timely manner.
  • Identify department or business risks that could impact KPIs and inform General Manager to support them in mitigating the risks.
  • Collate reports and data
  • Organise department meetings for the leadership team, ensuring they are aware of the agenda prior to attendance, taking minutes and documenting actions.
  • Support the planning, coordination and delivery of any departmental projects, working collaboratively with both team members and stakeholders.
  • Support financial administration by processing invoices, maintaining expenditure trackers, and assisting with budget monitoring.
  • Implement improved administrative processes and systems to increase efficiency and optimise leadership time.
  • Provide business and administration support to all aspects of the department. This may include but is not limited to;
    • Finding and booking meeting rooms.
    • Collaborate with internal teams to organise flights, transport and accommodation for department.
    • Organizing events and activities

What You’ll Need:

  • Background in corporate, health, community or commercial based sectors (preferred)
  • Ability to prioritise tasks and manage time effectively in a fast-paced environment.
  • Knowledge of systems, tools and process within the ambit of this position.
  • Good problem solving and organisational skills.
  • Strong accuracy and attention to detail, with demonstrated analytical skills.
  • Excellent communication skills both written and verbal.
  • Experience with diary management and the coordination of meetings, bookings, and preparing correspondence.
  • High levels of professionalism, integrity and discretion.
  • Advanced skills in Microsoft Office suites (particularly Word, Excel, Outlook and SharePoint)
  • Strong work ethic and highly self-motivated with an ability to prioritise tasks to meet deadlines.
  • Ability to adapt to an ever-changing environment an able to learn new programs and processes.
  • Diploma of Business Administration and/or extensive administrative experience (desired)
