About the Role:

As an Executive Assistant at St John WA, you will be a highly trusted, effective and experienced administrator with meticulous attention to detail, excellent time management and outstanding communication skills, along with an exceptional ability to build relationships and liaise with stakeholders.

You will provide high-level executive support across a broad range of responsibilities to ensure executive operations run cohesively, efficiently and smoothly, supporting the successful achievement of organisational objectives. This is a fast-paced role where no two days are the same, and you will have the opportunity to take ownership of your work with autonomy and trust while making a real impact in a purpose-driven organisation.

This is a Permanent Full-time position. You will work 37.5 hours per week, Monday to Friday, based in our Belmont State Office, with the opportunity to work from home one day per week.

What You’ll Do:

  • Diary & Email Management – Ensure executive workflows remain efficient by managing and prioritising calendars, emails and correspondence, while ensuring time is allocated appropriately to meet business demands.
  • Executive & Leadership Support – Liaise with senior leaders, internal stakeholders and external partners to facilitate seamless communication, support processes and monitor the flow of information.
  • Meeting & Event Coordination – Organise meeting logistics, including catering, room setup and tech support. Prepare agendas, take minutes, track action items and coordinate travel and external engagements.
  • Research & Reporting – Undertake research and prepare comprehensive briefing notes, reports and correspondence, ensuring executives are kept informed of urgent matters and competing priorities.
  • Stakeholder Engagement – Maintain awareness of incoming and outgoing matters to respond appropriately, including high-level correspondence with government officials and external partners.
  • Collaboration & Process Management – Work closely with senior leaders and other Executive Assistants to ensure streamlined workflows and shared awareness of key issues.
  • Governance & Compliance – Ensure all submission deadlines and governance requirements are met, including executive reports, committee papers and meeting documentation.

What You’ll Need:

  • Proven experience providing high-level executive support, including at board level.
  • Highly adaptable, proactive and able to anticipate executive needs in a dynamic environment.
  • Strong decision-making skills with the ability to assess priorities, risks and opportunities efficiently.
  • Exceptional interpersonal and communication skills, with the ability to engage at all levels.
  • Outstanding organisational and time management abilities, balancing multiple priorities under tight deadlines.
